Who is responsible for your information?

Eugene Prokudin, trading as Uplink Connect, is responsible for the personal information described in this policy.

For privacy questions or requests, email [email protected] . A postal correspondence address is available on request using any of the contact options on this website.

[email protected] is the public contact address. [email protected] is an active operational mailbox, but it is not the public contact address.

Information I collect

The information collected depends on how you contact Uplink Connect and the nature of your enquiry or project.

It may include:

  • your name and contact details;
  • your organisation and role;
  • information submitted through the website enquiry form;
  • emails, telephone calls, text messages and WhatsApp messages;
  • the location, timing and requirements of a proposed project;
  • correspondence, quotations, agreements and payment records;
  • photographs, video, documents or technical information required to assess or deliver work; and
  • limited technical information used to operate and protect the website.

Do not send passwords, payment-card details, identity documents or other sensitive personal information through the contact form.

How your information is used

Personal information may be used to:

  • respond to an enquiry;
  • discuss, prepare or provide a quotation;
  • assess whether a project or opportunity is suitable;
  • plan, deliver and support agreed work;
  • communicate with clients, prospective clients and professional contacts;
  • maintain appropriate project and business records;
  • protect the website and enquiry form from misuse; and
  • meet legal, tax, accounting or regulatory obligations.

Uplink Connect does not sell personal information. Enquiry information is not used for marketing automation, profiling or automated decision-making.

Lawful bases

Depending on the circumstances, personal information is processed because:

  • it is necessary to take steps at your request before entering into a contract or to perform an agreed contract;
  • it supports legitimate business interests, such as responding to relevant enquiries, discussing professional opportunities, operating the website securely and maintaining proportionate business records; or
  • it is necessary to comply with a legal obligation, including tax and accounting requirements.

Where legitimate interests are used, those interests are considered alongside your rights and reasonable expectations.

Website enquiry form

The enquiry form may collect your name, email address, telephone number, organisation, enquiry type, location, preferred timing and the information you include in your message.

Cloudflare hosts the website and stores accepted form enquiries in its D1 database. Cloudflare Turnstile helps protect the form from automated abuse. Sinch Mailgun sends the enquiry details as an outbound email notification through its EU service to [email protected]. If configured, the notification is also blind-copied to Capsule CRM for business records. That copy does not automatically create or match a visitor contact. Proton Mail receives incoming mail for [email protected] and [email protected] and handles enquiry correspondence; Mailgun is not used to receive mail.

You do not have to provide optional information. However, enough information is required to understand and respond to your enquiry.

Email, telephone, SMS and WhatsApp

If you contact Uplink Connect by email, telephone, text message or WhatsApp, the information you provide will be used to respond and manage any subsequent discussion or work.

Email is provided through Proton Mail. WhatsApp Business is provided by Meta. Calls and text messages are handled through the mobile-network provider used by Uplink Connect.

WhatsApp is optional. Any WhatsApp QR code or link is not a marketing subscription. Uplink Connect does not use WhatsApp automation, a bot, widget or CRM integration.

WhatsApp conversations may be included in an encrypted device backup. Messages should not be used to send passwords, payment-card information or other particularly sensitive material.

Client and project information

When work proceeds, additional information may be needed to plan and deliver it. This can include site details, access arrangements, technical documentation, contact information and project photographs or video.

Information supplied for a project will be used only for the agreed work, related administration and appropriate business records. Where another organisation determines how personal information must be handled, any additional responsibilities or instructions can be agreed as part of the project.

Uplink Connect does not operate its own business CCTV or dashcam, monitor or routinely access client CCTV footage. Router or administrator access is received only where a client authorises it for requested support; access is limited to that purpose and removed at project end unless a support agreement says otherwise.

Client contact details may be shared with a third-party installer only where needed for client-authorised coordination.

Service providers

Uplink Connect uses selected service providers to operate the website and communications:

Cloudflare
Website hosting, security, enquiry processing, D1 database storage, Turnstile and website analytics.
Sinch Mailgun (Mailgun)
Outbound enquiry-notification emails through the EU REST API.
Proton Mail
Email storage and communication.
Capsule CRM
Business contact, enquiry and communication records maintained by Uplink Connect.
Meta/WhatsApp
WhatsApp Business messaging.
Mobile-network provider
Calls and SMS messages.

Information may also be disclosed where reasonably necessary to professional advisers, insurers, accountants or public authorities, or where disclosure is required by law.

The configured Mailgun sending endpoint is in the EU region. Some providers may nevertheless process information outside the United Kingdom. Appropriate safeguards are used where a restricted transfer applies. Further information about the relevant safeguards is available on request by email.

Analytics, security and storage

Uplink Connect uses Cloudflare Web Analytics only to understand aggregate website traffic and page performance. Cloudflare states that this service does not collect or use visitors’ personal data or track individual visitors across different websites.

Cloudflare may process limited technical request and security information when delivering and protecting the website. Cloudflare Turnstile is used to help distinguish legitimate form submissions from automated abuse.

At launch, the website does not use GA4, advertising pixels or marketing tracking. Cookies or other browser storage, if used by Cloudflare Web Analytics, Turnstile or embedded media, will be assessed in the deployed environment before deciding whether a consent mechanism is needed.

How long information is kept

Enquiries that do not lead to work are retained for 12 months after the last meaningful contact.

If work proceeds, relevant client and project records are retained for six years after project completion.

Invoices, payment and tax records are retained for as long as required by applicable tax law.

Duplicate enquiries and discarded quote material are deleted sooner when they are no longer needed.

Information may be deleted sooner where it is no longer needed. It may be retained for longer where necessary to establish or defend a legal claim, meet a legal requirement or resolve an ongoing matter.

Deleted information may remain temporarily within secured provider backups until those backups are replaced under the provider’s normal retention cycle.

Your rights

Depending on the circumstances, you may have the right to:

  • request a copy of your personal information;
  • ask for inaccurate information to be corrected;
  • ask for information to be deleted;
  • ask for its use to be restricted;
  • object to certain uses of your information; or
  • request the transfer of information you provided.

In particular, you may object to processing based on legitimate interests. These rights are not absolute and can depend on the reason the information is being used.

To make a request or raise a concern, email [email protected] . Rights requests are normally answered within one calendar month.

You can also complain to the Information Commissioner’s Office , the UK supervisory authority for data protection.

Changes to this policy

This policy may be updated when the website, services or providers change. The latest version and its revision date will be published on this page.
